POSITION:   Fund Development & Marketing Coordinator

 

PRIMARY RELATIONSHIPS

This position reports to the CEO and serves as a member of the management team.  Within the association, the position has primary relationships with the financial operation, senior management staff, and program staff. Outside the agency, the position coordinates with the board of directors, fundraising volunteers, donors, and funding sources.

 

PERFORMANCE EXPECTATIONS

As a member of the management team, this is a high-stress position that helps set the direction and ensures the health of the institution. The individual is expected to be a strong communicator with exceptional writing skills, demonstrated fundraising technician and an excellent organizational development specialist.

 

The individual is expected to:

  • translate broad goals into achievable steps;
  • help set and manage appropriate expectations;
  • handle detailed, complex concepts and problems and make rapid decisions regarding management and development issues;
  • plan and implement development and marketing programs;
  • establish strong and appropriate relationships with CEO, staff, board, volunteers, donors, and the general community;
  • develop smooth and constructive relationships with people from all segments of the community;
  • provide daily supervision of the fund development staff operations.

 

The individual is expected to: plan and meet deadlines; maintain a flexible work schedule to meet the demands of executive management; demonstrate initiative; and work as a team player.

This position is a salaried exempt position.

 

PRINCIPLE DUTIES

  • Grant writing and reporting: Writes grant proposals for program funding in coordination with the CEO. Renews grants previously funded. Reports to funders according to specified requirements.
  • Provides staff support for board fundraising activities: Works with CEO and board to create annual development plan to meet agency revenue goals. Assists board in completing activities in annual development plan. Facilitates special events. Assists in recruitment of co-chairs for the annual events. Sets meetings for major donor visits by board and CEO.
  • Coordinates direct mail fundraising: Creates fundraising letters, newsletters, general mailings and other targeted efforts. Supervises printing and mailing. Coordinates board involvement in mailings.
  • Public relations: Produces public relations materials, including but not limited to regular news releases, newsletters, annual report, etc.
  • Oversees record keeping and donor recognition: Maintains donor database. Ensures prompt acknowledgment of all donations. Provides donor listings and analytical reports from database on request. Manages membership renewals.
  • Website maintenance: Working in coordination with other managers, keeps website relevant and up to date.
  • Social media: Maintains association social media sites and blog with updates, while promoting the brand, mission, reputation and image of the YWCA Northwestern Illinois
  • Oversee brand: align brand collateral as well as intangible brand elements to YWCA USA standards.

 

QUALIFICATIONS

Comprehensive management skills and experience are required, including but not limited to short- and long-term planning, evaluation, directing and motivating staff, oral and written communication skills, marketing and financial management, values clarification, organizational behavior and development, and board development and governance.

 

The position requires demonstrated experience in managing and implementing a comprehensive fund development program and producing charitable contributions. The individual is expected to be a highly competent motivator of volunteers and staff.

 

Knowledge and experience in the following areas is required: the nature and dimensions of philanthropy; ethics; motivations for giving and volunteering; research and cultivation practices; standard fundraising techniques, including face-to-face solicitation, proposal writing, special events, phone solicitation, and direct mail; and development office functions, including gift processing, prospect and donor histories, and fundraising reporting. The individual is also expected to have demonstrated experience and confidence in asking people to contribute time and money. Familiarity with computer systems is necessary. Some graphic design experience a plus.
