Position Overview
The Administrative and Program Coordinator supports the Executive Director by managing a wide range of operational, administrative, and member engagement responsibilities. This role serves as a key liaison for members, coordinates events and education programs, manages financial operations, and supports other association-related activities.
Key Responsibilities
1. Executive Support & Member Relations
- Assist the Executive Director with membership development initiatives.
- Coordinate expanded membership meetings and organizational events.
- Provide ongoing communication support, including website and Facebook updates.
2. Accounting & Financial Management
- Manage all bookkeeping functions for the organization and its affiliated programs
- Handle accounts receivable (AR), accounts payable (AP), and payroll.
- Prepare financial reports and tax forms (monthly and quarterly).
- Collaborate with accountants on year-end tax returns and audits.
3. Office Operations
- Oversee daily office operations and respond to internal needs.
- Research upcoming construction projects and maintain the organization’s “Bid Board.”
- Manage affinity programs and provide general secretarial support.
4. Labor Relations & Union Coordination
- Review union wage and contract documentation.
- Manage grievance correspondence and attend grievance meetings as necessary.
- Conduct research and provide informational support to members.
- Represent the organization at meetings when the Executive Director is unavailable.
5. Education Program Coordination
- Serve as Education Committee Coordinator, including meeting logistics and budget management.
- Maintain correspondence with schools, colleges, and students.
- Oversee scholarship and award programs.
- Coordinate donations and sponsorships to external organizations.
Qualifications
- Proven administrative or coordinator experience (3+ years preferred)
- Strong organizational and multitasking skills
- Proficient in bookkeeping and accounting software
- Excellent written and verbal communication skills
- Experience with event planning and program coordination
- Familiarity with labor union practices is a plus
- Comfortable with social media and basic website maintenance

Salary: Up to $75,000 annually; Organization offers free healthcare, dental, and vision family insurance coverage.
